Short Suffixes for Secondary Files

When dealing with files offline, I always tag a suffix to my document or revision numbers to indicate the purpose of the file if it is not primary - e.g. I add the initials of the person who has marked-up, stamped or signed the drawing.  e.g.

1234-A-ABC-DRG-10-04-0501_C01 - Level 4 Lift Lobby.pdf << This is the original clean copy

1234-A-ABC-DRG-10-04-0501_C01-SM - Level 4 Lift Lobby.pdf << This is the copy with the Structural Engineer's comments

1234-A-ABC-DRG-10-04-0501_C01-DM(B) - Level 4 Lift Lobby.pdf  << This is the copy with the Design Manager's Status B stamp

When browsing our files on our own file system, it is easy to spot and launch the correct version of any given revision, since sometimes people will want to open the commented/stamped copy to be sure they are seeing everything everyone has said, but sometimes they will want the clean copy.

It would be handy if every Secondary File asked for a 2-5 character suffix so that in the Document Grid, these suffixes could appear in columns to the right of the "Name" field.  Clicking the "Name" field would launch the "Raw" (Primary) copy, and clicking the Suffixes would open the corresponding Secondary File.

e.g.

Name ………………………………………..| Description ……….| Rev..|...…...|...………..| Status |

1234-A-ABC-DRG-10-04-0501 | Level 4 Lift Lobby | C01 | SM | DM(B) | B - APPROVED WITH COMMENTS   etc.

 

When choosing Recipients on a per-Document level, it would be useful to then be able to select from a dropdown, which file they should be linked to by default - i.e. the stamped copy or the Primary copy.  The dropdown choice would also be manually editable, e.g. if you choose DM(B), you could edit it down to DM, so that if in future there is a DM(A), that is what they will get.

If this went alongside my other suggestion of Recipients being logged as people to include in a pending Notification Transmittal, that Transmittal would mirror that selection and show the choice alongside where you currently see a Status dropdown.  In fact, I would suggest a suffix dropdown on the Document Edit screen would be more useful than a Status dropdown which is rather silly because the Status shouldn't be different for each Recipient and if it was to be, it should be a choice of Activity Statuses rather than Document Statuses (but it isn't, so a Status connected to an individual's need for Action can't be chosen anyway).
