Submit Your Suggestions for Viewpoint for Projects

Register/Update/Correct items using an Excel or .cvs file

Uploading multiple documents is fairly simple, but registering them is an arduous task.

It would be more effective if Viewpoint for Projects had the ability to import a list of data matching fields within a project.  This would make registering new documents and updating current documents even easier and more efficient.

 

Example:

  1. User downloads "Import Template" from Viewpoint (Spreadsheet containing headers corresponding to the fields in Viewpoint)

  2. User fills in the spreadsheet (Possibly copies data from a Document Register/Schedule).

  3. User saves the file using a Viewpoint Naming Protocol.

  4. User imports the file into Viewpoint. This is similar to pre-registering documents.

  5. When the user uploads files where the filenames match whats on the pre-registered list; it will automatically assign those files.

 

Keys things to note:

  • The user must consider which fields are mandatory for the project they are importing to.
  • The filename must be an exact match or it will be registered as a new file.

 

Benefits:

  • Expansion on the capabilities of the Matrix View.
  • Streamline the creation/update of mass documents.
  • Reduce errors prior to uploading content to Viewpoint.
  • Could be used to correct mass errors with metadata
