At present the system has been modified to allow all users within an organisation to view the information of non visible items within a workflow.
The problem arises when the Project Administration Team create a document on behalf of a third party, they are then recognised as the "Creator" even if Owner and Revision Author are amended to the third party's company's details. This means that throughout the workflow the third party "Owner" of the document is unable to view the information. Even worse if upon termination of the workflow the activity status is non visible, they will still not be able to see it, therefore not even be able to modify it!
Big headache!!!

Thanks for your input here. This is a delicate matter as ultimately it's a scenario that you don't want to manage - everyone should be logging on and uploading their own information. We're committed to making it easier for everyone to able to do this, with the recent additions of the multi-file upload in your browser, and the VfP Desktop application.
When you cannot avoid having to do this for a 3rd party, the best workaround is to invite a dummy account under the desired Organisation, but to an email address that you manage. Then you can fully assume the functional identity of this party and perform actions for them that will fully tie-in with the extra workflow controls you have.
Given that this behaviour is fundamental to sharing information under review for the same Organisations on VfP, this is not something that we are looking to change in the short to medium term.
